What we collect

When you request transport, make an enquiry, register interest as a transport partner, communicate with TMT or use our website and forms, we may collect information reasonably necessary for our business and transport services, including:

How we use personal information

We process personal information for purposes including responding to enquiries, preparing quotations, arranging and managing transport services, communicating with customers and transport partners, verifying and managing approved transport partners, processing bookings and PODs, handling claims and incidents, maintaining business and financial records, complying with legal and regulatory obligations, protecting our systems and business, and improving our services.

Where required by law, we will obtain consent before using personal information for direct marketing or other purposes requiring consent.

Customer stories, testimonials, photographs or reviews will only be used publicly where the appropriate permission or lawful basis has been obtained.

Sharing personal information

TMT does not sell personal information.

We may share personal information with approved transport partners and other authorised service providers where reasonably necessary to arrange, perform or manage a transport booking.

We may also use trusted third-party service providers for technology, CRM, cloud storage, communication, forms, payment processing, accounting, document management and other business functions.

Information shared with transport partners will be limited to information reasonably necessary for them to perform the relevant transport service.

TMT will take reasonable steps to ensure that service providers and transport partners handle personal information appropriately and in accordance with applicable legal requirements.

Cross-border processing

Where necessary for the provision or management of transport services, including cross-border transport, personal information may be processed or transferred outside South Africa.

TMT will take reasonable steps to ensure that any such processing or transfer complies with applicable POPIA requirements and that appropriate safeguards are in place.

Security

TMT applies reasonable technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction.

These measures may include access controls, authorised-user restrictions, secure storage, confidentiality requirements, appropriate password and system controls, document protection and other safeguards appropriate to the information being processed.

Where TMT becomes aware of a security incident affecting personal information, it will take appropriate steps to investigate, contain and address the incident and make any notifications required by applicable law.

Your rights

Subject to applicable law, you may request access to personal information held about you, request correction or deletion of inaccurate or unlawfully held information, object to certain processing, and exercise other rights available to you under POPIA.

Requests may be directed to info@taylormadetransport.co.za.

You may also lodge a complaint with the Information Regulator of South Africa where you believe that your personal information has been processed unlawfully.

Direct marketing

TMT may use personal information for direct marketing only where permitted by applicable law.

Where consent is required, TMT will obtain the required consent before sending electronic direct marketing communications.

Where applicable, customers may object to receiving marketing communications at any time by contacting TMT or using the unsubscribe/opt-out mechanism provided in the communication.

Any electronic direct marketing communication sent by TMT will identify the sender and provide an appropriate means for the recipient to request that further communications stop.

Retention

TMT retains personal information only for as long as reasonably necessary for the purpose for which it was collected, or where retention is required or permitted by law.

Certain information may need to be retained for longer periods for accounting, tax, contractual, insurance, claims, legal, regulatory, audit or dispute-resolution purposes.

When personal information is no longer required and there is no legal or legitimate reason to retain it, TMT will take reasonable steps to securely delete, destroy or de-identify it.
